DAY OF COORDINATION

What is a Day of Coordinator and what do they do?​

REMEMBER: A Day of Coordinator is NOT a Wedding Planner and does not do the following:   NOTE: A wedding planner is a person who works with the couple to plan their wedding months or years in advance and helps with obtaining and negotiating with vendors and venues.. Their fees are in the thousands. 

 

A Day of Wedding Coordinator is responsible for making sure the vision and theme of YOUR Day are executed properly. They may not make the seating plan, for example, but they make sure place cards are numbered correctly and placed in the proper spot, and so much more within your day.

  • Will preview wedding and reception site(s) & a final walk-through the week before the wedding 

  • Make suggestions on best set up at Ceremony & Reception (if no Planner) 

  • Help with rehearsal & officiant (or officates, if hired)

  • Help coordinate the processional line-up

  • Act as the main contact & point person for the venue, vendors, and guests (so couple doesn’t have to)

  • Make sure set-up & décor for ceremony and reception are as requested

  • Greet guests and instruct ushers on the best way to greet and seat

  • Help pin on boutonnières and corsages

  • Keep track of the marriage license, ketubah, ritual items, and rings

  • Gathering up and distributing the ceremony items at the ceremony site

  • Verify that things like favors and place cards receive proper placement

  • Light any candles

  • Confirm set up of the guest book, gift table, cake table, and rentals 

  • Direct events to keep the wedding flowing smoothly and on schedule

  • Instruct responsible person(s) for getting gifts from reception to final destination

  • And be ready for anything!

The bottom line is this… YOU will enjoy your ceremony, reception and events surrounding YOUR wedding, because you have chosen to work with the right day of wedding coordinator.

A Day of Wedding Coordinator is NOT a full-service planner and does NOT typically do the following: 

  • Bring in vendors 

  • Work with vendors that are already contracted 

  • Guarantee the professionalism of vendors 

  • Set up tables and chairs

  • Put out table linens 

  • Serve food 

  • Assemble centerpieces and other decor 

  • Move chairs between the ceremony and reception

  • Clean up or pack up at the end of the night
